Important: This Privacy Policy describes how Valencia Medical & Research Center (“VMRC”, “we”, “our”) handles personal information we collect through this website. Health information you share with us as a patient or research participant is governed separately by our Notice of Privacy Practices on this website.
1. Information we collect
We collect information you give us directly when you:
Submit our contact, referral, or volunteer forms
Speak with our bilingual AI concierge (it records and transcribes the conversation, and we keep the transcript, including your name, phone, email, and what you ask about, to follow up with you)
Email or call our clinic
Apply to participate in a clinical study
We also collect basic technical data automatically, such as IP address, browser type, and the pages you visit, through standard server logs.
2. How we use your information
To respond to your questions and route your request
To screen for clinical-study eligibility and contact you about studies you may qualify for
To schedule and confirm appointments
To improve our website and patient experience
To comply with applicable laws and regulations
3. How we share your information
We do not sell your personal information. We share it only:
With clinical-study sponsors and CROs, only after you have signed an Informed Consent Form for a specific study
With Meta Platforms, Inc., when you contact us through WhatsApp, Messenger, or Instagram, or send us a form on Facebook or Instagram: Meta delivers those messages (including our replies) and form answers, and receives their content
With Meta, to measure our ads: if you reach our website from Facebook or Instagram (for example, through one of our ads) and complete a pre-screening questionnaire, we may send Meta a signal that a pre-screening was completed. It contains only the identifier of that click, which Meta can link to the ad or post you clicked, and never your name, contact details, or answers
With the artificial-intelligence providers that run our virtual assistant (ElevenLabs) and that help our staff review and summarize conversations and pre-screening answers (Anthropic)
With our payment processor (Stripe), when you pay for a product or service
With our email delivery provider (Resend)
With the companies that host our website and our database (Vercel and Supabase)
With our telephone provider (Twilio), which carries our phone calls
With other service providers who help us run our clinic and website (for example, scheduling), under contract
With Cloudflare, Inc., whose Turnstile service protects some of our forms from bots and spam. When the verification widget on one of these forms loads, Cloudflare receives technical information such as your IP address, your browser’s user agent (which describes the browser and operating system you use), the characteristics of your browser’s secure connection (known as a TLS fingerprint), the results of automated checks the widget runs in your browser, the full web address of the page you are on and of the page you came from, general information about the page and the form (for example, how many fields the form has), and our website’s Turnstile key. When you submit the form, we send Cloudflare the verification token and your IP address to confirm the result. We do not send Cloudflare what you enter in our forms, and Cloudflare states that Turnstile does not access, store, or transmit form entries. Cloudflare uses this technical information to detect and block bots on our website, and also for its own purpose of improving Turnstile’s bot detection, as described in its Turnstile Privacy Addendum (cloudflare.com/turnstile-privacy-policy).
When required by law, a court order, or to protect rights and safety
We do not sell your personal information. No mobile information is shared with third parties or affiliates for marketing or promotional purposes, and text messaging opt-in data and consent are never shared with any third party.
4. Your rights
Depending on your state of residence, you may have the right to access, correct, or delete personal information we hold about you, and to opt out of certain processing. To exercise any of these rights, contact us at the address below.
Florida residents are also covered by the Florida Information Protection Act (FIPA) for data-breach notification.
5. Cookies and tracking
We use only the cookies our website needs to work, for example to keep you signed in, to remember your language, or to connect a form you submitted to your patient account. We do not use analytics or advertising cookies.
6. Children’s privacy
Our website is not directed to children under 13. For pediatric studies we collect only basic eligibility information about the child, and only through a parent or guardian; written consent (and the child’s assent) is signed before any study procedure.
7. Changes to this policy
We may update this Privacy Policy from time to time. We will post the new effective date at the top of this page.
